We warmly invite you to attend the RANZCP Faculty of Child & Adolescent Psychiatry 2024 conference, Titiro whakamuri, kōkiri whakamua: Learning from the past to inform the future, to be held in Ōtautahi (Christchurch) from 21-23 August.

Has there ever been a time like this before? Post-global pandemic, social media fake news, AI, growing disparity, environmental fears becoming reality and multiple political dualisms are all weighty issues and impact upon pēpē, tamariki and rangatahi.

In this midst of this, Aotearoa has been undergoing immense change in the delivery of mental health services, and CAMHS are no longer “the only shop in town”. The mental health of infants, children, adolescents and families requires the contribution of many different services and many different approaches. The mental health environment has certainly changed and whilst we welcome widening the range of options, the dynamism brings challenges with it. We hope this conference offers a chance to join together, to acknowledge the past, to reflect and to continue on to best meet the needs of children.

We have yet to come to terms with the impact of the pandemic, but we can learn from other times of disaster, such as Ōtautahi’s earthquakes of 2011. It is wonderful to be returning to a newly opened conference venue and to the winter wonderland that is Te Wai Pounamu.

Notification to authors

Notification of the outcome of your submission will be communicated to the presenting author on Tuesday 11 June 2024. Please note the details provided, as the author contact should be for the presenting author of your abstract. All correspondence relating to the submission will be directed to this person, and they should in turn distribute to all co-authors as applicable.

Abstract speaker registration

The invitation to submit an abstract does not constitute an offer to pay travel, accommodation or registration costs associated with the conference. Similarly, no presenter fee is paid to successful participants. 

All presenters must register for the conference by Wednesday 26 June 2024 in order for the presentation to be included in the conference program.

Full pre-payment can still be made by noting this in the ‘Special Requirements’ section when completing your accommodation booking in the online registration form.

To secure your accommodation, simply complete the online registration form. A valid credit card number must be provided and will be passed on to the hotel to guarantee your booking. Your credit card will not be charged a deposit at the time of booking or in advance of arrival. Your accommodation must be settled directly with the hotel on arrival and your incidental costs must be settled directly with the hotel on departure. Please note hotels may apply a surcharge to credit card payments.

Check in time is 1500hrs. If you require immediate access to your room prior to this time, the hotel recommends booking for the evening before your stay commences. If you are arriving after 6 pm please note this accordingly.

The hotel imposes a strict release date of 30 days prior to arrival so we encourage you to book early. Any booking requests received less than 30 days prior to arrival are subject to availability.

Please note cancelled bookings or failure to arrive at the hotel on the designated date of arrival (no show) will incur penalties. See details below before making your booking.

Any changes to your booking must be made via email to WALDRONSMITH Management – not directly with the hotel.

All room rates noted are based on room only, unless otherwise specified, and are in New Zealand Dollars.

Terms and conditions

Accommodation

For accommodation cancellation policies, please refer to the hotel policy noted on the website. Any amendments to an original hotel booking must be forwarded via email to the Conference Office. Verbal changes or cancellations cannot be accepted nor will the hotel accept any changes direct.

Voluntary cancellation

Should you decide to cancel your registration, the following refunds will apply from the date of receipt of notification:

  • On or before Friday 19 July 2024: 50% refund less an administration fee of $110 including GST
  • After Thursday Friday 19 July 2024: no refund available although registration may be transferred to another individual. 

Refunds will be returned by the same payment method as the original receipt of funds. No refund will be made after Friday 19 July 2024 however an alternative delegate name may be provided by email and the booking and funds will be allocated accordingly. Please note no refund or discount will be made if a function or event inclusive within the registration fee is not taken up, or if you subsequently cancel your participation in that function or event.

Optional social event tickets may be cancelled on or before Friday 19 July 2024 and will be refunded in full by the same payment method as the original receipt of funds. After Friday 19 July 2024 no refunds will be made, however an alternative delegate name may be provided by email and the booking and funds will be allocated accordingly. In the case of extenuating circumstances, a refund outside of these terms and conditions may be considered by and at the discretion of the Faculty of Child and Adolescent Psychiatry Conference (FCAP)  upon application.

Conference cancellation or postponement

The FCAP may cancel or postpone the Conference due to circumstances beyond its reasonable control, including but not limited to Acts of God, terrorism, war, strikes or industrial action, fire, explosion, inevitable accident, breakdown of property, changes in law, or pandemics or global health crises. Due to the nature of the event, it may be reasonable to postpone the event to a later year and/or to change the location for the Conference.

In the event the Conference is not able to proceed as planned, and is moved to a virtual format, your registration will be transferred to a virtual registration. If you choose not to attend the virtual Conference, the FCAP will not be required to refund any part of the Conference registration fee.

In the event of postponement of the Conference, if, when requested, you advise that you are willing to attend the rescheduled Conference, the FCAP will transfer the registration and guarantee the same conditions and equivalent registration entitlements (subject to reasonable modification and availability) at the rescheduled event. If, at a later date, you then choose not to attend the rescheduled Conference, the FCAP will not be required to refund any part of the Conference registration fee.

In the event of a full cancellation of the Conference by the FCAP, you will be entitled to a full refund of the amount of the Conference registration fee received.

The maximum liability of the FCAP under these Terms and Conditions is limited to a refund of the Conference registration fee with no additional liability for travel costs, hotel costs, or any other associated costs.

Health and safety requirements

All participants at the Congress will be required to comply with any Health and Safety Guidelines and protocols in place with the venues and the Congress which will be aligned and compliant with all relevant Commonwealth and state government health advice. By registering for this event, the RANZCP reserves the right to provide your contact details to authorities for the purposes of contact tracing and any other relevant government requirements. Details of any relevant protocols and requirements will be communicated to delegates who will be bound by these requirements.

Delegate cancellation - Medical

The health and safety of Conference attendees is our highest priority. The FCAP is mindful of the health risks posed by COVID-19, and the importance of both adhering to best practice health and safety practices and following official medical advice with respect to social distancing, practicing good hygiene and staying at home when unwell. The FCAP requests that any delegate who is feeling unwell or has cold or flu like symptoms, or who may have been in contact with someone with COVID-19, not attend the Conference. If, on medical grounds, you are unable to attend the Conference, you must cancel your in-person attendance in writing by email to the Conference Office. A full refund may be provided at the discretion of the FCAP, however you may be asked to provide additional details.

Insurance

Participants are strongly advised to secure appropriate travel and health insurance. Delegate registration fees do not provide any such insurance coverage. The FCAP and the Conference Office accept no responsibility for any loss in this regard.

Tax

All Conference registration fees and additional ticket rates are quoted in Australian Dollars. GST at 10% is included.

Disclaimer

By registering, participants acknowledge and consent that during their attendance at the FCAP 2024 Conference their image or voice may be recorded via video, photograph or by any other means (“recorded”) by an officer or official of the FCAP 2024 Conference which may be distributed or published at the discretion of the organisers of the FCAP 2024 Conference. If you do not wish to be recorded, you are required to formally advise the Conference Office in advance by email.
